Should You Purchase Credit Insurance?

Don’t want to wait and see if your customers pay their bills?

Consider purchasing credit insurance!

Credit insurance, also referred to as trade credit insurance, is offered by insurance companies and some government export credit agencies. This insurance usually covers a fixed percentage of the account receivable. In other words, if the customer fails to pay a bill, your insurance company reimburses you for a portion of that unpaid bill. You must absorb the cost of the insurance as a business expense, and you still take a bit of a hit in the event of a default if you insure for less than the full value of your receivables.

When to Hire Debt Collection Professionals

What kind of debt collection professional should you hire?

What should you expect from them?

Before you hire a professional, you must determine what services you need. Professionals come in all shapes and sizes, and they offer a laundry list of services to assist your credit and collection operations.

Here are some services debt collection professionals can provide:

Billing Services and Early-In Collection Services – These services help you at the beginning of the credit process, from the time you provide your goods or services, long before any delinquencies occur. Why hire a professional so early? You may prefer to use an outside service instead of hiring and managing your own credit personnel, or you may prefer to maintain a small, in-house staff while the outside company provides the backup you need as your workload ebbs and flows.

Skip Tracing – It’s becoming easier for people and even businesses to move around without leaving much evidence as to where they’ve gone. Phone numbers may remain the same, regardless of where the debtor is located. When your debtors disappear, professionals can often find them and their assets.

How to Negotiate Successfully

Is your debtor refusing to pay the full amount of an invoice?

You may have to negotiate.

Preparation for negotiation is often the most important factor in achieving a successful outcome. Preparation includes:

  • Organizing your thoughts – You may choose to create a written outline. Don’t get caught up in the trivial details involving small amounts of money or increments of time.
  • Writing down a list of goals – List goals for the negotiation that may help you get paid. Your goals may include key invoices that you want paid, the amount you hope to collect, or the date by which you want payment.
  • Prioritizing your goals – Number your goals, or put an asterisk next to the ones that are crucial and a question mark next to the ones that can be compromised.

Preparing to Negotiate

Have you reached an impasse with your debtor?

Two people shaking hands | Debt collections Michigan

You may have to negotiate. The good news is, you’re probably better at negotiation than you think.

There’s no master list of all the skills necessary for successful negotiation, but, here’s a simple maxim: Negotiation is 90 percent motivation and 10 percent intelligence. In other words, if you’re highly motivated to solve the problem, you’re much more likely to succeed in a negotiation.

Many people are too tentative when negotiating. They worry that they won’t strike the best possible deal or that they’ll be unsuccessful in dealing with their opponent, particularly when they’re up against attorneys or other professionals. Worry causes many people to get bogged down in the details and forget to look at the big picture.

How to Respond to Common Disputes

Do you want to resolve customer disputes quickly?

A woman on a tablet | Collection services Michigan

You’ll need to get the specifics of the complaint. Here’s an example of a common situation:

The customer says: “Your billings are messed up” or “I’ve been overcharged.”

You need to inquire:

  • What exactly do they mean? Make inquiries to turn this from a vague complaint to specific objections about specific billings. For example, was the customer billed twice for the same order? Did you forget to credit them for a returned shipment? Was the price of the order misquoted?
  • Which invoices are you referring to? Get the information you need to verify the complaint, track down any error, and either fix any wrongdoings or establish that their objection isn’t valid.

Resolving Disputes: Asking, Then Listening

Do you have difficult customers who complain often?

A man on the phone | Collection services Michigan

When a customer has a complaint, sometimes the best way to get the information you need is to ask a simple question: “What seems to be the problem?” You then must listen carefully and analytically to your customer’s response.

Here’s one example:

The customer says: “The salesperson messed up the order.”

You need to inquire:

  • Which salesperson? Ask for the salesperson’s name and other pertinent information, such as what office the person works in, so you can track them down for comment.
  • What does “messed up” mean, exactly? Get specifics of the conversations or representations, so you can figure out how to respond to and overcome the objections.
  • What invoices are in question and what specific issues are being raised in relation to each of those invoices?
